Institutes have employees, not only students
A coaching center often pays teachers and office staff on a mix of fixed pay, allowances, and leave rules that live in someone's head. Spreadsheets hold up until the month someone asks for last June's payslip, or how many casual days they have left, or why their pay was short when they were away for three days.
Define the pay once, not every month
Instead of retyping figures each month, you build a salary structure — a named template of components, each an earning or a deduction, each either a fixed rupee amount or a percentage of basic pay. Assign it to the teachers and staff it applies to, and pay day becomes a matter of picking a month.
Structures keep their own history. Every edit records who changed what and when, and each payslip stores a snapshot of the structure it came from, so a payslip from six months ago still shows the figures actually used even if the structure has changed since. Edunza also refuses to delete a structure while employees are still assigned to it, and tells you who they are.
Pay day is one screen
Pick the month, press Generate, and Edunza produces a payslip for every teacher and staff member on the roster. What you get back is a result list: who was paid, who was skipped, who failed, and a plain reason for each.
- Payslips arrive as drafts, so a run you got wrong can be deleted and repeated. Finalising one records who approved it and locks it against deletion.
- Each payslip gets a readable number like
PS-2026-06-0001and downloads as a formatted PDF on your letterhead. - You cannot accidentally pay someone twice. A payslip is identified by employee and month, so a double-click or two admins generating at once land on the same record.
- Someone who joined or left mid-month is paid the part of the month they worked, with every line of their structure scaled to match.

Leave that actually reaches the payslip
Leave is the part spreadsheets get wrong, because leave and pay are kept in two files that disagree.
You define your own leave types with an annual allowance and whether they are payable. An admin raises a request, approves it, and the days appear on the employee's attendance record. At pay day, approved leave inside the entitlement is paid; days beyond it, and any unpayable type, come off the payslip. Half days count as half.
Two approved requests can never cover the same day, and an approval that would take someone past their allowance is refused with the arithmetic spelled out. Where you want it, leave can accrue monthly rather than all at once, be pro-rated for a mid-year joiner, and carry forward up to a limit with an expiry month.
Your holiday calendar ties it together. Tick your weekly offs, add your closures, and a request spanning a weekend only consumes the working days inside it. Leave the calendar empty and every day counts as a working day, which is the right answer for the many centers that do teach weekends.

Deductions are yours to configure, and off until you ask
On the settings page you can switch on employee provident fund, professional tax, and income-tax withholding. Each is off by default, and each is a calculator you configure: the contribution rate, the wage ceiling, your state's professional-tax bands.
Where a field arrives pre-filled, treat it as a convenience rather than as advice that it applies to your establishment. Check the figures with your accountant or a CA before you rely on a payslip. Edunza keeps the records; it does not file returns, submit challans, or confirm your compliance. The center remains the employer.
Employer PF contribution, ESI and gratuity are not part of Edunza today.
Who can see what
Payroll is a center module on eligible plans, and it is administrator-only. Staff employees cannot see payslips, salary structures or leave balances — not through the app and not around it. There is no employee self-service view, so leave requests are raised by an admin on the employee's behalf.
Tutors do not get institute payroll at all. See Staff and payroll and Premium features.
